Privacy Policy

SendProp (“we”, “us”) is software for creatives and small agencies to send quotes, track expenses and send contracts for electronic signature. This policy explains what information we collect, why, who can see it, and the choices you have. It covers the SendProp website and app (sendprop.io), including the Contracts feature (currently in beta).

Who this applies to

  • Account holders (“you”): people who sign up for SendProp and the teammates they invite.
  • Clients and signers: people who receive a quote, view a shared link, or are asked to sign a contract. They don't need an account. For their information, the account holder who sent it is the one who decides why and how it is used, and we process it on their behalf.

Information we collect

Account information. Your name, email address and a securely hashed password (we never store your password in readable form), your workspace and team membership, and your account type and settings.

Content you create. Quotes, line items, clients and their contact details, expenses, templates, comments and files you add. For Contracts: the contract documents and templates you write, paste, import or upload (including uploaded PDFs), the signers' names and email addresses, and the field values signers enter.

Signing records. When someone opens or signs a contract we record what's needed to make the signature reliable and provable: the time, the signer's IP address and browser/device details, their consent to sign electronically, the signature they draw or type, and an audit trail of events (sent, opened, signed, declined, reminded, completed) linked together so tampering would be visible. A “certificate of completion” page with these details is added to the signed PDF.

Verification codes. If a sender turns on email verification for a contract, we email the signer a short one-time code. We store only a hashed copy, which expires after a few minutes.

Usage and technical data. Basic logs needed to run and secure the service (IP address, browser type, pages and requests, errors), and privacy-friendly aggregate analytics. We use cookies only to keep you signed in and protect your session.

Messages you send us. If you use “Report a problem” we receive your message and the page you were on.

How we use it

  • To provide the service: create and send quotes and contracts, collect signatures, produce signed PDFs, send notifications and reminders, and let your team collaborate.
  • To email you and your signers things they asked for or need: signing requests, reminders, verification codes, completion copies, account and security messages. We don't send marketing email unless you opt in.
  • To keep the service secure, prevent abuse and fraud, enforce sending limits and fix problems.
  • To improve SendProp using aggregate, non-identifying usage information.
  • To meet legal obligations.

We do not sell your personal information, and we don't use the content of your quotes or contracts to advertise to you or anyone else.

Who we share it with

Only with the people and services needed to run SendProp:

  • Other people in the flow. A signer sees the contract and the other signers' names. After signing, everyone on the contract receives the signed PDF and certificate. Teammates in your workspace see what your role permits.
  • Service providers that process data for us under their own terms: hosting and edge delivery (Vercel), our database (Neon), and email delivery (Resend). We also use Vercel Analytics for aggregate, cookieless traffic measurement.
  • Legal and safety. If required by law or to protect rights, safety or the service.
  • Business transfers. If SendProp is part of a merger or sale, data may move to the new owner, who must honor this policy.

How long we keep it

  • Account and workspace data is kept while your account is active and removed when you delete it (some records may remain in backups for a limited period).
  • Sealed contracts and their audit trails are kept until the workspace or account that owns them is deleted, because their value is being able to prove what was signed and when. Drafts and templates you delete are removed.
  • Signing links expire with the contract. Verification codes expire within minutes.
  • Security and abuse logs are kept only as long as needed.

Security

Data is encrypted in transit. Signing links contain long random secrets and we store only a one-way hash of them, so a database leak can't be turned into working links. Signed documents are fingerprinted so changes can be detected, and signers can't alter a contract after it is sent. Uploaded PDFs are cleaned of scripts and links. No system is perfectly secure, so please use a strong, unique password and tell us right away if you suspect a problem.

Your choices and rights

You can view and edit most of your information in the app and delete your drafts, templates and quotes. Depending on where you live (for example under the GDPR, UK GDPR or California law) you may have the right to access, correct, export or delete your personal information, to object to or restrict some processing, and to complain to your regulator. To make a request, email horizon.project937@gmail.com, use “Report a problem” in the app or reply to any email we've sent you. If you are a client or signer, please contact the person who sent you the document first, since they control it; we'll also help where we can.

Important: a signed contract is a legal record shared by several people. Deleting it from one person's account does not remove it from the other parties' copies, and we may be unable to delete a signed contract or its audit trail where doing so would defeat its purpose or breach a legal duty.

Children

SendProp is for businesses and isn't directed to children under 16. We don't knowingly collect their information.

International use

SendProp is operated from the United States and our providers may process data there and in other countries. Where required, we rely on appropriate safeguards for transfers.

Changes

We'll update this page when our practices change and revise the date above. For significant changes we'll notify account holders by email or in the app.
